Virtual On-boarding Checklist

Key Elements:

Prior to Day One

  • Welcome pack
  • Send them an outline plan for the first week so the new joiner knows what to expect
  • How can the new starter prepare? Question them around a strong internet connection, quiet space to work etc

Induction Checklist

  • Spread the on-boarding programme over a number of days, ideally a week to allow for flexibility
  • Have regular check-in’s so the new employee doesn’t feel isolated or forgotten
  • Start with an on-line welcome video & presentation about the Company – history, culture, values, products/services
  • Use conferencing tools such as Zoom, Teams etc
  • Ensure IT access is set up
  • Compliance training –  use on-line resources, e-learning videos
  • 1-1 with Manager
  • Virtual meetings with the team to meet colleagues and any other new joiners
  • Review at end of week one, ask for feedback
  • Use an internal communication platforms such as Slack
  • Have a clear plan so they know what to expect
  • Assign 2-3 tasks or activities for the first week for them to complete

Example First Week Plan

Day One

  • Welcome to the Company video/presentation
  • Video on company culture & values
  • 1-1 with Manager
  • Introduction to on-line resources available
  • Task/Activity for employee to complete

Day Two

  • Check-in email or video call from Manager
  • Check-in with team or buddy
  • Set up IT equipment/access
  • Task/Activity for employee to complete

Day Three

  • 1-1 with Manager to discuss role/expectations
  • Virtual team meeting

Day Four

  • Check-in or video call with Manager
  • Check-in with buddy
  • Compliance training
  • Task/Activity

Day Five

  • 1-1 with Manager
  • Summary of week one activity
  • Feedback
  • Check-in with team/buddy
  • On-line social activity with team
  • How is the Tech holding up – Can any improvements be done?
